FICO Cost Center Accounting Part 6: Cost Center Planning and Plan/Actual Comparison
Full lesson currently free to read · AI practice limits apply separately
Plan costs per cost center and cost element, plan activity quantities, compare plan with actual each month, and understand where planning lives in S/4HANA — classic CO planning versus planning in SAP Analytics Cloud.
Visual overview
Explanation
📌 KEY POINTS
✅ Cost center planning sets expected costs by cost element and period for a plan version.
✅ Activity planning sets planned quantities for activity types, which drive planned activity prices.
✅ Plan/actual comparison shows variances per cost center and cost element each month.
✅ In S/4HANA, much financial planning has moved to SAP Analytics Cloud integrated with ACDOCP.
⚠️ Plans that are never compared with actuals are just numbers — review variances monthly with owners.

▶ WHERE WE ARE
Parts 1–5 covered cost center setup, postings and allocations. Part 6 covers planning and control.
━━━━━━━━━━━━━━━━━━━━
▶ 1. WHAT IS PLANNED
Cost center managers plan costs per cost element and period — salaries, rent, utilities — in a plan version, usually version 0 for the operative plan. Production cost centers also plan activity quantities, such as machine hours, which are needed to calculate activity prices.
━━━━━━━━━━━━━━━━━━━━
▶ 2. HOW PLANNING IS DONE
Classic transactions such as KP06 (cost elements) and KP26 (activity types and prices) allow manual planning, copying from actuals or previous plans, and distribution over periods. Many companies use planning layouts with upload from spreadsheets. In S/4HANA, planning increasingly runs in SAP Analytics Cloud, with plan data stored in the plan table ACDOCP.
━━━━━━━━━━━━━━━━━━━━
▶ 3. PLAN/ACTUAL COMPARISON
Reports compare actual costs with plan per cost center and cost element, showing absolute and percentage variances. For production cost centers, target costs adjusted to actual activity are more meaningful than plan, which leads to variance analysis by category.
━━━━━━━━━━━━━━━━━━━━
▶ 4. RESPONSIBILITY
Each cost center has a responsible manager who owns its plan and explains variances. A monthly review with controlling — focusing on significant variances, not every line — turns cost center accounting from bookkeeping into management.
━━━━━━━━━━━━━━━━━━━━
▶ 5. INTEGRATION WITH ALLOCATIONS
Plan allocations (assessments and distributions) can be run on plan data so receiving cost centers see their planned share of shared costs. This keeps plan and actual logic consistent and makes variances comparable.
━━━━━━━━━━━━━━━━━━━━
▶ STEP BY STEP
- Plan costs for one cost center with KP06 or the planning app.
- Plan activity quantity for a production cost center.
- Post actual costs and run plan/actual comparison.
- Prepare a variance commentary template for managers.
✅ CHECKPOINT: each manager can see plan versus actual for their cost center and explain major variances.

What this specific lesson teaches
Plan costs per cost center and cost element, plan activity quantities, compare plan with actual each month, and understand where planning lives in S/4HANA — classic CO planning versus planning in SAP Analytics Cloud.
Key lesson principle: Cost center planning sets expected costs by cost element and period for a plan version.

Real project scenario
A company's plan was loaded once a year and never looked at again. When monthly variance reviews were introduced with cost center managers, overspending on contractors in IT was spotted in April instead of at year end, and corrective action saved a significant amount.
Common mistakes
- Plans loaded and never reviewed.
- No plan allocations, so shared costs never planned.
- Comparing production cost centers only with plan, not target.
- No responsible manager per cost center.
Best practices
- Monthly variance review with owners.
- Plan allocations consistent with actual cycles.
- Target costs for production cost centers.
- Clear planning tool decision (classic vs SAC).
Interview angle
Interviewers ask how cost center planning works, the difference between plan and target costs, and how planning changed in S/4HANA.
