Full lesson currently free to read · AI practice limits apply separately
Understand the GL account settings that decide how postings behave: account type, reconciliation accounts, open item management, line item display, posting without tax, field status groups and currency settings — and how to choose them correctly.

Explanation
📌 KEY POINTS
✅ GL accounts are created in FS00 with chart-of-accounts data and company-code data.
✅ Reconciliation accounts link subledgers (customers, vendors, assets) to the GL and cannot be posted directly.
✅ Open item management is for accounts that must be cleared, such as GR/IR, bank clearing and salary payable.
✅ Field status groups control which fields are required, optional or hidden when posting.
⚠️ Open item management cannot be switched casually after postings exist — decide at creation.
━━━━━━━━━━━━━━━━━━━━
▶ WHERE WE ARE
Parts 1–2 covered GL foundations and the posting flow. Part 3 goes into the account master itself.
━━━━━━━━━━━━━━━━━━━━
▶ 1. TWO LEVELS OF DATA
A GL account has chart-of-accounts data — account number, description, account type such as balance sheet or P&L — and company-code data — currency, tax category, reconciliation account type, open item management, sort key and field status group. In S/4HANA, the account type also distinguishes primary and secondary cost elements, since cost elements are GL accounts.
━━━━━━━━━━━━━━━━━━━━
▶ 2. RECONCILIATION ACCOUNTS
Customers, vendors and assets post to subledgers, and their totals post automatically to reconciliation accounts in the GL. These accounts are flagged as reconciliation accounts for a subledger type and cannot receive direct postings, which keeps subledger and GL in agreement.
━━━━━━━━━━━━━━━━━━━━
▶ 3. OPEN ITEM MANAGEMENT
Accounts where every debit should eventually be offset by a credit — GR/IR clearing, bank clearing accounts, salary payable — are managed on an open item basis, so items can be cleared and the open balance analysed by item. Most other accounts, such as revenue or expense, do not need it.
━━━━━━━━━━━━━━━━━━━━
▶ 4. TAX AND POSTING CONTROLS
The tax category defines whether tax codes are required, which ones are allowed, or whether postings are without tax. 'Posting without tax allowed' lets users post without a tax code to accounts that normally carry tax. Field status groups decide which fields such as cost center or assignment are required.
━━━━━━━━━━━━━━━━━━━━
▶ 5. GETTING IT RIGHT
Most later problems come from accounts created quickly with copied settings: an expense account without required cost object, a clearing account without open item management, or a balance sheet account allowing manual postings that should only receive automatic ones. A short account request form with the controller's review prevents this.
━━━━━━━━━━━━━━━━━━━━
▶ STEP BY STEP
- Display a vendor reconciliation account in FS00 and note its settings.
- Compare a GR/IR account with an expense account.
- Check the field status group of a revenue account.
- Draft an account request template with required decisions.
✅ CHECKPOINT: you can justify each key setting for a new GL account.

What this specific lesson teaches
Understand the GL account settings that decide how postings behave: account type, reconciliation accounts, open item management, line item display, posting without tax, field status groups and currency settings — and how to choose them correctly.
Key lesson principle: GL accounts are created in FS00 with chart-of-accounts data and company-code data.
Representative SAP learning flow, not a guarantee of system runtime sequence in every scenario. The chapter-specific facts come from the published lesson text.
Real project scenario
A new bank clearing account was created without open item management. Months later, nobody could tell which items were still open because only balances existed. A new account with open item management was created, the old balance transferred with item detail rebuilt, and the account request template updated.
Common mistakes
- Clearing accounts without open item management.
- Allowing direct postings to reconciliation accounts.
- Copying settings from unrelated accounts.
- Expense accounts without required cost objects.
Best practices
- Account request form with controller review.
- Open item management for all clearing accounts.
- Field status groups by account usage.
- Periodic review of account settings.
Interview angle
Interviewers ask about reconciliation accounts, open item management and field status groups — expect follow-ups on what happens if they are set wrongly.
