MR11 — GR/IR Clearing Account Maintenance

MR11 clears what is left on the GR/IR clearing account for purchase order items where receipt and invoice quantities or values no longer match and no further document is expected. It posts the residual to a price-difference or expense account so the PO item closes, and it should run with tolerances, a test run first and an agreed approval.

Clears residual GR/IR balances per purchase order item that will not be settled by a further receipt or invoice, posting the difference to a price-difference or expense account.

What MR11 is for

GR/IR is credited at goods receipt and debited at invoice receipt, so a purchase order item clears only when both sides agree. When a supplier will never invoice the last few units, or a small price difference is accepted, a residual stays open on the PO item and on the balance sheet. MR11 is the tool that closes those residuals deliberately. It creates an account maintenance document per PO item and posts the difference, which removes the balance from GR/IR and makes the item disappear from GR/IR analysis reports.

When it is used

Most companies run MR11 as part of month-end or quarter-end close after purchasing has reviewed the open GR/IR list. It is also used during cutover and before a system conversion to clean up years of small residuals. The right moment is after the business has confirmed that no further receipt, invoice or credit memo will arrive for the selected items; running it earlier only hides a difference that a later document would have settled correctly.

How it is used in practice

Select by company code, vendor, purchasing document and the last movement date so that only items without recent activity are included. Choose whether quantity differences, value differences or both are processed and set a tolerance so large differences are excluded for individual review. Always execute a test run first and review the list with purchasing. The posting uses the account determination for GR/IR clearing differences, so check where the difference will land before running in update mode.

Fields and objects that matter

  • Company code, vendor and purchasing document selections that limit the run to reviewed items
  • Last movement date, which keeps recently active PO items out of the clearing
  • Quantity and value difference options and the tolerance that excludes large residuals
  • Test run flag, which produces the list without posting
  • Account maintenance documents, which can be displayed and reversed with MR11SHOW

How to prove it in the data

Before clearing, list the PO item's receipt and invoice quantities and values in ME23N purchase order history or table EKBE. The residual shown by MR11 should equal the difference between them. After posting, the account maintenance document shows the posting to the difference account and the GR/IR line items for that PO item net to zero.

ECC vs S/4HANA

MR11 remains available in S/4HANA. SAP also provides Fiori apps for GR/IR monitoring and reconciliation, so many teams analyse and assign responsibility in the apps and use MR11 only for the final, approved clearing.

Common pitfalls and how they show up

The classic failure is using MR11 as a blanket write-off at year end. It removes the symptom and loses the information about why receipts and invoices did not match.

  • Clearing items that still expect an invoice, which then posts a second difference when the invoice arrives
  • Running without a tolerance, so a large disputed difference is written off silently
  • Skipping the test run and discovering the expense account impact after posting
  • Not agreeing the cleared list with purchasing, which owns most root causes
  • Treating MR11 as a fix for wrong PO prices that should be corrected at source

Whose problem this is

Accounts payable or the close team runs it; purchasing owns the decision that no further documents will arrive; controlling should agree the expense or price-difference account used.
