Maintenance Costing and MRO Integration Fundamentals
Understand how maintenance labor, spare parts, external services and overhead accumulate on orders and integrate with MM, procurement, FI and CO.
Explanation
A maintenance order is both an execution object and a cost collector. Internal labor confirmations value work according to controlling/work-center settings. Goods issues of spare parts charge material cost to the order. External services and purchased components create procurement commitments and later actual cost through goods/service receipt and invoice processing.
Planned cost supports work approval and budget decisions; actual cost shows execution consumption. Commitments represent expected future external/material cost and should be reviewed before order close.
Settlement moves eligible order balances to the final receiver according to configuration, such as cost center, asset or another controlling object. Technical completion does not automatically mean all financial processing is finished.
MRO integration means maintenance and supply chain share the same material availability, purchasing and invoice processes. A part physically installed but never issued leaves both inventory and maintenance cost wrong.
Support should reconcile operations, material documents, purchasing history and cost line items together.
Real project scenario
A contractor finished repair work and the order was technically complete, but supplier service entry was never accepted. The order showed an open commitment and incomplete cost until procurement processing was finished.
Common mistakes
- Looking only at order planned cost.
- Ignoring commitments after TECO.
- Issuing spares outside the order.
- Posting FI adjustments instead of correcting logistics.
- Settling before external invoices/services are complete.
Best practices
- Reconcile execution and cost together.
- Track commitments.
- Record every spare against the order.
- Complete procurement before financial close.
- Validate settlement receiver.
Interview angle
Explain how labor, materials and external services become maintenance-order cost and what settlement does.

Quick check
1. A project team faces this situation in "Maintenance Costing and MRO Integration Fundamentals": A contractor finished repair work and the order was technically complete, but supplier service entry was never accepted. Which action is the most appropriate next step?
2. For Maintenance Costing, MRO Integration and Production Support, consider this mapped project scenario from Planning Order Operations, Components, and Permits: A refinery client complained that technicians frequently arrived at job sites without the correct gasket kit, causing repeat visits. Which response best addresses the underlying risk?
3. For Maintenance Costing, MRO Integration and Production Support, consider this mapped project scenario from Order Costing, Settlement, and Variance Analysis: A manufacturing client's month-end close was repeatedly delayed because a batch of maintenance orders failed settlement with errors traced to missing or incomplete settlement rules on orders created by a newly onboarded planning team. Which response best addresses the underlying risk?
Interview questions
1. How does vendor evaluation data influence maintenance procurement decisions for spare parts and external services in SAP PM/MM?
Answer it in your own words first, then compare.
2. A project encounters this situation while working on Maintenance Costing and MRO Integration Fundamentals: A contractor finished repair work and the order was technically complete, but supplier service entry was never accepted. Walk through how you would analyze the requirement or issue, what you would validate, and how you would test the solution before release.
