FICO India e-Invoicing Part 4: Cancellations, Corrections and Reconciliation
Full lesson currently free to read · AI practice limits apply separately
Handle the hard cases: cancelling an IRN within the allowed window, correcting invoices after it closes with credit or debit notes, keeping SAP and the IRP consistent, and reconciling SAP, IRP and GSTR-1 every month.

Explanation
📌 KEY POINTS
✅ An IRN can be cancelled only within a short window after generation; after that, correct with a credit or debit note.
✅ Cancelling in SAP and cancelling on the IRP are two separate actions that must stay in sync.
✅ A cancelled document number cannot be re-registered in the same financial year; the corrected invoice needs a new number.
✅ Monthly, reconcile SAP billing, registered IRNs and GSTR-1 per business place.
⚠️ Reversing a billing document in SAP without cancelling its IRN leaves a registered invoice with no books entry.
━━━━━━━━━━━━━━━━━━━━
▶ WHERE WE ARE
Parts 1–3 covered the normal flow. Part 4 covers what happens when an invoice is wrong.
━━━━━━━━━━━━━━━━━━━━
▶ 1. CANCELLATION WINDOW
The IRP allows an IRN to be cancelled only within a limited time after generation, and an IRN cannot be partially cancelled. Within the window, the correct sequence is to cancel the IRN through the eDocument process and cancel the billing document in SAP, then issue a new invoice with a new number. If an e-way bill was generated for the invoice and goods have not moved, it must be cancelled first.
━━━━━━━━━━━━━━━━━━━━
▶ 2. AFTER THE WINDOW
Once the window has passed, the invoice stays registered. Corrections are made with a credit note (reducing value or tax) or a debit note (increasing it), each reported as its own e-invoice with reference to the original. In SAP these are credit and debit memos created with reference to the original billing document.
━━━━━━━━━━━━━━━━━━━━
▶ 3. KEEPING SAP AND IRP IN SYNC
Every status change must exist on both sides. A billing cancellation in SAP should trigger or require the IRN cancellation; if the IRN cancellation fails because the window has closed, the SAP cancellation must be stopped and a credit note used instead. Without this control, books and IRP diverge and GSTR-1 shows invoices that finance believes were reversed.
━━━━━━━━━━━━━━━━━━━━
▶ 4. DOCUMENT NUMBERING
Because the IRN is derived from the document number, a cancelled number cannot be reused in the same financial year. SAP number ranges for billing must therefore not be reset or reused, and corrected invoices always get new numbers. This also matters when migrating or reorganising number ranges mid-year.
━━━━━━━━━━━━━━━━━━━━
▶ 5. MONTHLY THREE-WAY RECONCILIATION
Compare SAP billing documents in scope, IRNs registered and cancelled on the IRP, and invoices appearing in GSTR-1 per business place. Typical exceptions are invoices cancelled in SAP but active on the IRP, IRNs generated for test or duplicate documents, and documents never submitted. Each exception is resolved before filing.
━━━━━━━━━━━━━━━━━━━━
▶ STEP BY STEP
- Cancel a test invoice within the window: e-way bill, IRN, then billing document.
- Correct a test invoice after the window with a credit note referencing it.
- Run a reconciliation of SAP billing, IRP status and GSTR-1 for one month.
- Add a control preventing SAP cancellation when IRN cancellation fails.
✅ CHECKPOINT: SAP, IRP and GSTR-1 match for a month, with every cancellation and correction traceable.

What this specific lesson teaches
Handle the hard cases: cancelling an IRN within the allowed window, correcting invoices after it closes with credit or debit notes, keeping SAP and the IRP consistent, and reconciling SAP, IRP and GSTR-1 every month.
Key lesson principle: An IRN can be cancelled only within a short window after generation; after that, correct with a credit or debit note.
Representative SAP learning flow, not a guarantee of system runtime sequence in every scenario. The chapter-specific facts come from the published lesson text.
Real project scenario
Finance reversed 120 billing documents at month end to rebill with new prices, but the IRNs were older than the cancellation window. The IRP still showed the original invoices, and GSTR-1 overstated sales. Credit notes had to be issued and reported. A control now blocks billing cancellation unless the eDocument shows a successful IRN cancellation.
Common mistakes
- Cancelling billing in SAP without cancelling the IRN.
- Trying to reuse a cancelled document number.
- Forgetting to cancel the e-way bill first.
- No reconciliation between SAP, IRP and GSTR-1.
Best practices
- Block SAP cancellation without successful IRN cancellation.
- Use credit/debit notes after the window, always referenced.
- Never reuse billing number ranges within a financial year.
- Monthly three-way reconciliation per business place.
Interview angle
Interviewers test whether you know that IRN cancellation is time-limited, that SAP and IRP must be cancelled together, and how to correct invoices after the window.

1. An invoice's IRN is past the cancellation window and the price was wrong. How do you correct it?
2. Why can't a cancelled invoice number be reused in the same financial year?
3. What should happen if the IRN cancellation fails but the billing document was already cancelled in SAP?
