Without a UD, stock quantities typically sit in restricted-use or quality inspection stock and cannot be freely used, sold, or consumed in production. This is intentional - it is the control point that prevents unverified material from silently entering the supply chain. The UD is not just a status flag. It is a business decision recorded against a UD code (such as accept, reject, or accept with restrictions), and that code is configured to trigger specific system follow-up actions: stock posting to unrestricted use, blocked stock, or return delivery; automatic creation of a quality notification for rejected lots; and in many configurations, triggering of certificate generation or vendor evaluation updates. This is why the UD sits at the intersection of quality, inventory management, and procurement or production. From a beginner's perspective, it helps to think of the inspection lot lifecycle in three phases: lot creation (system generates lot based on inspection type, e.g., 01 for goods receipt), results recording (inspector enters measured or evaluated results against a sampling plan or characteristics from the material's inspection plan), and usage decision (someone with appropriate authorization reviews results and posts a final decision). It is also important to understand that UD is not always fully manual. In mature implementations, especially in S/4HANA, UD can be automated for lots that pass all results without deviation - a rule-based auto-UD - reserving manual review for lots with rejections, deviations, or characteristics flagged for skip-lot logic exceptions. This reduces manual workload while preserving control on exception cases. Beginners should recognize automation exists but should first understand the manual mechanics before evaluating automation.
