Usage Decision, Stock Posting and Blocked Procurement (Part 3)
Use usage decision as the controlled quality conclusion that closes an inspection lot and drives approved stock disposition, quality score and follow-on supplier actions.
Explanation
Results recording captures measured or qualitative findings. The usage decision (UD) evaluates the inspection lot as a whole and records whether it is accepted, rejected or otherwise dispositioned according to configured code sets.
UD can trigger stock posting from quality-inspection stock to unrestricted, blocked, scrap or other permitted destinations. It can update quality level or supplier-related quality information and initiate follow-on actions depending on configuration.
A stock movement performed outside the quality decision can undermine traceability. The business needs to know not just where the stock moved but why quality accepted or rejected it.
Blocked procurement and supplier controls should be governed carefully. A quality block can stop new purchasing or require special release. Removing it to meet an urgent production need must follow documented approval.
Close lots promptly after results so quality stock does not remain indefinitely unavailable.
The inspection-type/origin and quality-info-record model is conceptually unchanged between ECC and S/4HANA. The practical difference is that GR-inspection monitoring and vendor quality metrics are increasingly surfaced through Fiori apps and embedded analytics rather than only classic list transactions.
Real project scenario
Production manually transferred a rejected batch to unrestricted stock to avoid a shortage. The lot still showed rejection, creating contradictory audit evidence. The process was corrected to require approved UD/release before stock disposition.
Common mistakes
- Treating UD as a clerical close step.
- Moving QI stock outside quality governance.
- Leaving completed inspections without UD.
- Removing supplier blocks informally.
- Ignoring follow-on quality score/actions.
Best practices
- Keep stock posting tied to quality decision.
- Use standardized UD codes.
- Monitor aged open lots.
- Audit procurement-block overrides.
- Reconcile lot status and stock status.
Interview angle
Explain how UD converts inspection results into controlled stock/business disposition.

Quick check
1. Scenario — Production manually transferred a rejected batch to unrestricted stock to avoid a shortage. For the lesson "Usage Decision, Stock Posting and Blocked Procurement", which response shows the strongest architecture and production judgment?
2. When goods receipt is posted for a purchase order and an inspection lot is automatically created due to QM in procurement, to which stock type is the material typically posted initially?
3. After a goods receipt inspection lot is created and the inspection results are recorded, which action determines whether the received material is transferred to unrestricted-use stock, blocked stock, or scrapped?
Interview questions
1. You are the senior consultant/architect responsible for Usage Decision, Stock Posting and Blocked Procurement. The project situation is: Production manually transferred a rejected batch to unrestricted stock to avoid a shortage. How would you assess the design, identify the highest-risk failure modes, and define the evidence required before approving it for production?
Answer it in your own words first, then compare.
2. You are the senior consultant/architect responsible for QM in Procurement: Inspection Type, Quality Info Record and GR Inspection. The project situation is: A supplier material was supposed to require incoming inspection, but receipts went directly to unrestricted stock. How would you assess the design, identify the highest-risk failure modes, and define the evidence required before approving it for production?
Answer it in your own words first, then compare.
